Academic Standing

Academic Progress

To remain in good academic standing, students must maintain a cumulative grade point average (GPA) of 2.5.  

Academic Probation

Academic ProgressA student’s record may be reviewed for the following reasons:

  1. Cumulative average falls below 2.5

  2. Two or more W's (withdrawals) are recorded

A student whose cumulative average falls below a 2.5 during any given semester; thereby, demonstrating an inability to make adequate progress towards graduation, may be placed on academic probation for the following semester or dismissed. 

Students are required to formulate a plan to regain good academic standing in conjunction with their academic advisor and to submit progress reports during the period of probation to the Dean of Academic Affairs. At the end of the following semester, the Dean of Academic Affairs will determine the appropriate action.

Mater Ecclesiae reserves the right to request a student to withdraw from the program when the quality of scholarship does not meet the required standard or when conduct is contrary to the purposes and ideals of Mater Ecclesiae.

Appeal Process

Students may request exceptions to this policy, as noted above, by presenting a written description of their extenuating circumstances and their plan for re-establishment of good academic standing to the Dean of Academic Affairs.  The Dean of Academic Affairs will advise the student in writing of the decision after review. 

Permanent Academic Record

All courses attempted and grades recorded become a permanent part of the student’s academic history. If a student receives a failing grade, that grade will remain on the record. If such a course is retaken, the new registration and grade will also be recorded on the student’s permanent record.

Transcripts
Requests for official transcripts must be made in writing. The following information must be included: full name, Mater Ecclesiae ID number, dates enrolled, address of transcript destination, and signature. The transcript will be mailed within three (3) weeks of the written request.

Student records and the Family Educational Rights and Privacy Act (FERPA)
The Family Educational Rights and Privacy Act of 1974, as amended, helps protect the privacy of student records. It is a federal law that requires a written institutional policy to be adopted and a statement of procedures covering the privacy rights of students to be made available. The Act provides the right to inspect and review educational records, to seek to amend those records and to limit disclosure of information from the records. The Act applies to all institutions that are the recipients of federal funding.

Mater Ecclesiae College maintains the confidentiality of student records and provides students with the right to inspect and review information contained in those records according to the Family Educational Rights and Privacy Act of 1974, as amended. Students have a right to withhold disclosure. To request that information be withheld, they should submit written notification which must be received at least one week prior to the date of registration. Parents of dependent students have the right to access their children’s records. Procedures for any complaints and grievances can be requested from the Director of Student Affairs
